Our Favorite Meeting Structure (Because Winging It Wastes Time)

Meetings don’t have to suck. They just need structure.

If you’ve ever walked out of a meeting thinking, “What was the point of that?”… you’re not alone. Most meetings are full of fluff, unclear takeaways, and energy that flatlines before the call even starts.

Not here.

We run tight meetings with a simple structure that keeps things moving, people engaged, and outcomes clear. Whether it’s a team huddle, a client presentation, or a strategy session, this format keeps everyone on the same page and walking out with a purpose.

Here’s how we do it:

1. Be the Energy in the Room

You set the tone. Come in hot. You don’t have to be fake, but bring presence, clarity, and confidence. Low energy meetings = low energy results.

2. Start with an Icebreaker

Something quick, casual, and human. A weekend recap, a “what’s the food you can’t live without right now?”… anything to get people out of their heads and into the conversation.

3. Set the Agenda & Expectations

No one likes guessing. Walk through what we’re here to do and what we’re not. If decisions need to be made, say so. If it’s an update, say that too.

4. Get to the Meeting / Presentation / Discussion

Now it’s go time. Share the content, ask the questions, solve the problems. Keep things focused and watch the clock. Respect people’s time.

5. Recap the Key Points

Say it again. This is the part where you repeat what was said to make sure everyone heard it the same way. Clarify anything confusing. Confirm next steps are understood.

6. Assign Action Steps

No floating to-do lists. Assign every action to a name and a deadline. If it’s not documented, it’s not happening.

7. Final Recap + Homework

This is the final sweep. Restate what’s due, when, and by whom. If someone needs to come prepared for the next meeting, say it out loud.

8. Sign Off with Intention

Don’t just trail off. End with gratitude, clarity, or energy for what’s next. Make the ending as strong as the start.

Why this works:
Because chaos kills clarity. Meetings are where momentum is built or broken. This structure helps you drive real outcomes, cut the fluff, and leave every room (or Zoom) stronger than you found it.

Use it. Adapt it. Make it your own. But whatever you do, don’t wing it.
